Create a Saved Message
Create saved messages to reuse when sending SMS notifications to groups during events.
Before You Start
You must have at least one group type configuration set up in your organization before creating saved messages. If you see a message asking you to create a configuration first, visit Settings > Configurations to add one.
Steps to Create a Saved Message
- Go to Settings > Saved Messages
- Find the appropriate group type panel:
- Choose Global if the message applies to all group types
- Choose a specific group type if the message only applies to that type
- Click Create a Saved Message in the panel header
- Fill in the message details:
- Name (required): A short, descriptive title
- Description: Brief explanation of when to use this message
- Content (required): The actual message text
- Tags: Keywords for easier searching (comma-separated)
- Click Save
Message Fields Explained
Name (Required)
Choose a clear, descriptive name that helps staff quickly identify the message.
Good examples:
- "Weather Delay - 30 Minutes"
- "Warmup Area Reminder"
- "Schedule Change Alert"
Avoid:
- "Message 1"
- "Template"
- "Announcement"
Description (Optional)
Add context about when or why to use this message. This helps other staff members understand its purpose.
Example: "Use when announcing weather-related delays. Update the time as needed before sending."
Content (Required)
Enter the exact text you want to appear in the message. This is what gets inserted when the saved message is selected during event messaging.
Tips:
- Keep messages concise for SMS delivery
- Include any variable information as placeholders (e.g., "[TIME]")
- Use a professional, clear tone
Tags (Optional)
Add comma-separated keywords to help find messages quickly through search.
Example: "weather, delay, schedule, announcement"
Global vs. Group Type-Specific Messages

| Group Type-Specific | Messages relevant only to certain groups (e.g., "Winter Guard warmup in gym A") |
When staff use saved messages during an event, they will see:
- All Global messages
- Messages matching the group types participating in that event
Best Practices
- Use consistent naming - Establish a naming convention (e.g., "Category - Specific Detail")
- Keep content SMS-friendly - Remember these may be sent via text message
- Review periodically - Remove outdated messages and update content as needed
- Use tags liberally - Makes finding the right message faster during busy events
