Creating and Managing Custom Lists
Custom lists help you organize contacts into groups for quick reference. Use them to categorize judges by specialty, track volunteers, or create any grouping that makes sense for your organization.
What are Custom Lists?
Custom lists are organizational tools that:
- Group contacts together by any criteria you choose
- Appear in the left sidebar below the standard categories
- Allow you to quickly view and filter specific sets of people
- Are organization-specific and not shared across organizations
Creating a Custom List
- Navigate to People in your organization
- Click Create a Custom List at the bottom of the left sidebar
- Enter a name for your list
- Click Create
The list appears in the sidebar under Custom Lists and is ready to receive contacts.
Adding Contacts to a Custom List
- Click on a contact to open their profile
- Go to the Custom Lists tab
- For each list, toggle Include or Exclude
- Click Save
Contacts can belong to multiple custom lists simultaneously.
Viewing a Custom List
- Look for the Custom Lists section in the left sidebar
- Click on a list name to view its members
The list displays like any other category, showing contact names and email addresses. You can search within the list using the search box.
Managing Custom Lists
Click the gear icon next to "Custom Lists" in the sidebar to open the management modal.
From here you can:
- View all your custom lists
- Delete lists you no longer need
Deleting a Custom List
- Click the gear icon next to "Custom Lists"
- Find the list you want to remove
- Click the X button next to the list name
- Confirm the deletion when prompted
Deleting a list removes the list only - it does not delete or affect the contacts who were in that list.
Custom List Ideas
Here are some common ways organizations use custom lists:
| List Name | Purpose |
|---|---|
| Volunteers | Track non-staff helpers |
| Board Members | Identify board of directors |
| Caption Heads | Lead judges for each caption |
| Sponsors | Financial supporters with accounts |
| VIP Guests | Special guests for events |
| New Judges (2024) | Track training year for judges |
| Inactive Judges | Judges no longer active but retained for records |
Tips
- Keep list names short but descriptive
- Use lists to track roles that don't map to CompetitionSuite permissions
- Review and clean up unused lists periodically
- A contact can be in as many lists as needed
- Lists are visible only to users with the Contacts permission
