Manage Your Saved Messages

Learn how to edit, delete, and organize your saved messages.

Viewing Saved Messages

  1. Go to Settings > Saved Messages

Your saved messages are organized into panels by group type:

  • Global panel appears first (messages available to all group types)
  • Additional panels appear for each group type configured in your organization

Each message shows:

  • The message name
  • Tags (if any)
  • Description (if provided)

Searching for Messages

Use the search box at the top of the page to filter messages by:

  • Name - Matches text in the message name
  • Tags - Matches any of the comma-separated tags

The search filters across all group type panels simultaneously.

Tip: If no messages appear after searching, you'll see "No saved messages match your search." Clear the search box to show all messages again.

Editing a Saved Message

  1. Click on the message you want to edit
  2. The edit dialog opens with the current values:
  • Name
  • Description
  • Content
  • Tags
  1. Make your changes
  2. Click Save

Changes take effect immediately. The next time someone uses this saved message in event messaging, they'll see the updated content.

Deleting a Saved Message

  1. Click on the message you want to delete
  2. In the edit dialog, click Remove (red button in the bottom-left corner)
  3. Confirm the deletion

Note: Deleted messages cannot be recovered. If the message was already sent in past events, those sent messages are not affected.

Organizing Your Messages

Using Tags Effectively

Tags help you categorize and find messages quickly. Consider organizing by:

Tag Category Example Tags
Type of message announcement, reminder, alert, emergency
Timing pre-event, during-event, post-event
Topic weather, schedule, warmup, parking, results
Urgency urgent, routine, fyi

Example: A weather delay message might use tags: weather, delay, schedule, announcement

Naming Conventions

Establish a consistent naming pattern across your organization:

Pattern Example
Category - Detail "Weather - Rain Delay 30 Min"
Action - Subject "Reminder - Warmup Location"
Event Phase - Type "Pre-Show - Check-in Instructions"

Global vs. Group Type Messages

Review which messages should be global versus group-specific:

  • Move messages to Global if they apply to all groups regardless of type
  • Keep messages under a specific group type if terminology, locations, or instructions vary

Note: You cannot move a message between group types after creation. To change a message's group type, create a new message in the correct category and delete the old one.

Common Questions

Why don't I see the Saved Messages option?

You need Organization Setup access. Contact your organization administrator to request this permission.

Can I duplicate a saved message?

There's no duplicate button, but you can:

  1. Open the message you want to copy
  2. Copy the content
  3. Create a new saved message and paste the content
  4. Modify as needed

Are saved messages shared with other organizations?

No. Saved messages are only visible within your organization. Each organization maintains its own library of saved messages.

What happens if I delete a message someone is using?

The message is removed from the saved messages library. Any messages already sent to groups are unaffected. Staff will no longer see the deleted message as an option when composing new messages.
