Managing Group Members
As a group admin, you control who belongs to your group and what access level they have. This guide covers adding, changing, and removing members.
Adding a New Member
- Go to Member Management in your group's admin menu
- Enter the person's email address in the Add Member section
- Select their member type from the dropdown:
- Admin
- Staff Member
- Competitor
- Event Messages Only
- Click Add Member
Important: You must select a member type before adding. There's no default—this ensures you consciously choose the right access level for each person.
If the email isn't associated with an account yet, the person will receive an invitation to create one.
Changing a Member's Type
- Find the member in your Approved Members list
- Click the dropdown next to their current type
- Select the new member type
- The change takes effect immediately
What Happens When You Change Types

| Admin | Competitor | Loses all access; must grant captions individually |
| Admin | Event Messages Only | Loses all content access |

| Staff Member | Event Messages Only | Loses all content access |
| Competitor | Any other type | All granted caption access is revoked |
| Event Messages Only | Staff Member | Gains full content access |
| Event Messages Only | Competitor | Still no access until you grant captions |
Key point: When changing someone FROM Competitor to any other type, all their individually-granted caption access is automatically revoked. This is logged in the audit trail.
Approving Pending Requests
When someone requests to join your group, they appear in the Pending Members section.
Each request shows:
- The person's name and email
- The member type they requested (shown as a badge)
To approve a request:
- Review the requested member type
- Choose to either:
- Approve with their requested type — Click the approve button for their requested type
- Approve with a different type — Select a different type from the dropdown, then approve
You can also deny a request if the person shouldn't be a member.
Removing a Member
- Find the member in your Approved Members list
- Click the Remove button (trash icon)
- Confirm the removal
Removed members lose all access immediately. If they were a Competitor, their caption access is also revoked.
Note: Members can also remove themselves from a group. Both actions are logged in the audit trail.
Viewing Member Phone Numbers
The member list displays each member's phone number (if they've added one to their account). This helps you:
- Contact members directly when needed
- Verify contact information
Note: Phone numbers are managed by users themselves in their account settings. As a group admin, you can view but not edit member phone numbers.
Best Practices
- Start restrictive: When unsure, add someone as Event Messages Only first. You can always upgrade their access later.
- Review periodically: Check your member list at the start of each season to remove people who've moved on.
- Use Competitors for performers: This lets you share specific feedback without overwhelming them with everything.
- Limit Admins: Only give Admin access to people who need to manage the group.
