Managing Competitor Access

Competitors only see feedback you specifically share with them. This guide explains how to grant and revoke access to individual captions.

How Competitor Access Works

Unlike Staff Members who see everything, Competitors start with no access to scores, commentary, or videos. As an admin, you control exactly which feedback each competitor can view by granting access at the caption level.

Caption = One judge's feedback on one performance

This gives you fine-grained control. You might:

  • Share only certain judge feedback, not all captions
  • Share feedback from some events but not others
  • Share feedback with one competitor but not another

Granting Access from the Performances Page

The quickest way to grant access is directly from your group's Performances page.

  1. Go to Performances in your group
  2. Expand a performance to see the list of captions
  3. Look for the shield icon on each caption row
  4. Click the shield to open the access manager

In the access manager popup:

  • You'll see a list of all your Competitor type members
  • Each competitor has a toggle switch
  • Turn the toggle on to grant access to that caption
  • Turn it off to revoke access

Bulk actions:

  • Grant All — Gives every competitor access to this caption
  • Revoke All — Removes access from every competitor

The popup shows each competitor's name (or email if no name is set). Changes take effect immediately.

Using the Competitor Permissions Page

For a complete view of who has access to what, use the Competitor Permissions page.

  1. Go to Member Management in your group's admin menu
  2. Click Competitor Permissions in the sub-navigation

This page shows:

  • All members with the Competitor member type
  • How many performances each competitor has access to
  • Expandable details showing exactly which captions they can see

Viewing a Competitor's Access

Click on any competitor row to expand it. You'll see a table showing:

  • Event name and date
  • Competition name (if applicable)
  • Caption initials
  • Judge name
  • When access was granted and by whom

Revoking Access

To revoke a single caption:

  1. Expand the competitor's row
  2. Find the caption in the list
  3. Click the X button next to it

To revoke all access for a competitor:

  1. Expand the competitor's row
  2. Click the Revoke All button
  3. Confirm in the popup

Note: Revoking access doesn't delete the feedback—it just hides it from that competitor. You can re-grant access later if needed.

What Gets Logged

All access changes are recorded in your group's audit log:

Action What It Means
Granted Caption Access Admin shared a caption with a competitor
Revoked Caption Access Admin removed a competitor's access to a caption

Each log entry includes:

  • Who made the change
  • When it happened
  • Which competitor was affected
  • Which caption was involved

Frequently Asked Questions

Can I grant access to an entire event at once?

Currently, access is managed per-caption. Use the "Grant All" button in the caption's access manager to quickly grant access to all competitors, then repeat for each caption in the event.

What happens when a Competitor's member type changes?

If you change someone from Competitor to any other type (Staff Member, Admin, or Event Messages Only), all their caption access is automatically revoked. This is logged in the audit trail.

Can competitors see videos?

No. Video access is not available to Competitors, regardless of caption access. Only Staff Members and Admins can view and download videos.

Can competitors see the Resources section?

No. Resources are only available to Staff Members and Admins.

Can competitors request access to specific captions?

Not directly in the system. They would need to contact you (the admin) to request access, and you would grant it manually.
