Canceling an Event
The Cancel Event section allows you to permanently remove an event from your organization. This is an irreversible action that should only be used when an event is no longer needed.
Accessing Cancel Event
- Navigate to your Organization > Events > select your Event
- Click Setup in the event navigation
- Click Cancel Event in the sidebar (at the bottom)
Note: This option is hidden if the event details are locked (typically after the event has been finalized).
Before Canceling
Data That Will Be Lost
Canceling an event permanently removes:
- Event configuration and settings
- Lineup and performance order
- Schedule and timing information
- Judge assignments
- Any entered scores
- Registration data
- Commentary files
- All associated event data
Data That Is Retained
Canceling an event does NOT remove:
- Groups from your organization
- Judges from your organization
- Organization settings
- Other events
Canceling the Event
- Read the warning message carefully
- Understand that this action cannot be undone
- Click Yes, Cancel My Event
- The event is permanently removed
What Happens After
- You're redirected to your organization's event list
- The event no longer appears anywhere in the system
- Any public links to the event become invalid
- Registered groups lose access to that event
Refund Policy
Important: Canceling an event does not automatically process refunds.
- If the event has already occurred, no refund is issued
- For pre-paid events that haven't occurred, contact CompetitionSuite support for refund requests
- Registration fees paid by groups should be handled separately through your organization's policy
When to Cancel
Appropriate reasons to cancel:
- Event created by mistake
- Event will not take place
- Duplicate event needs to be removed
- Test event needs cleanup
Alternatives to Canceling
Before canceling, consider these alternatives:
Hide from Public View
If you don't want the event visible but want to keep the data:
- Go to Pages settings
- Set visibility to Hide
- Data is preserved but not publicly accessible
Restrict Access
If you want to limit who can see the event:
- Go to Event Restriction
- Enable restriction
- Only authorized users can access
Reschedule
If the event is postponed:
- Go to Event Details
- Change the date
- Update registrants as needed
Locked Events
If the Cancel Event option is not visible or disabled:
- The event has been finalized
- Scores have been officially released
- The event cannot be canceled through the interface
