Bronze Events

Bronze events are a streamlined event format designed for solo and ensemble festivals, adjudicated performances, and other events where groups submit recordings for evaluation rather than performing live. These events focus on file submissions and judge feedback.

What Makes Bronze Events Different

Unlike standard competition events, Bronze events:

  • No live performance - Groups submit recordings instead of performing in person
  • Simplified interface - Only the Submissions tab is shown
  • Artifact-focused - Emphasis on uploading required files (videos, audio, documents)
  • Individual feedback - Judges review submissions and provide written or recorded commentary

Accessing Bronze Events

  1. Navigate to your Group from the dashboard
  2. Click Events in the top navigation menu
  3. Select Upcoming Events from the left sidebar
  4. Find the Bronze event in your event list

Bronze events appear alongside regular events but display only the Submissions tab.

Event Card Display

Bronze event cards show the same header information as regular events:

  • Organization name
  • Event name
  • Event date(s)
  • Location (if applicable)

However, the tab area displays only the Submissions tab, rather than the full set of competition tabs.

Submitting for Bronze Events

Understanding Submission Requirements

The event organizer defines what files you need to submit. Common requirements include:

Submission Type Description
Performance Video A recording of your solo or ensemble performance
Sheet Music PDF of the music being performed
Program Notes Written description of your piece or performance
Audio Recording MP3 or other audio file of your performance

Each submission shows:

  • Name - What the submission is called
  • Description - Specific requirements or instructions from the organizer
  • Required Format - The file type you need to upload (PDF, Video, Audio, etc.)

Upload Deadlines

A banner at the top of the Submissions tab shows your deadline:

Before the deadline:

Submissions for this event will be accepted until [date/time]

After the deadline:

Submissions for this event closed as of [date/time]

Plan to upload well before the deadline to avoid technical issues.

Uploading Your Files

  1. Click the Upload [Type] button for the submission you want to upload
  2. Select your file from your device
  3. Wait for the upload to complete (a progress bar shows upload status)
  4. Verify your submission by clicking the Download link

Adding Notes for Judges

After uploading, you can add context for the judges:

  1. Click Edit Note next to "Note for Judge"
  2. Enter your note (maximum 1,000 characters)
  3. Click Save

Example notes:

  • "This performance was recorded in our school auditorium with natural acoustics."
  • "The tempo marking at measure 45 was interpreted as marked in the original manuscript."
  • "Our ensemble has 12 members this year, down from 15 last year."

File Requirements

  • Maximum file size: 5 GB
  • Supported formats: Specified by the event organizer for each submission type
  • File type validation: The system will reject files that don't match the required format

Replacing Submissions

You can replace any submission before the deadline:

  1. Click the Upload [Type] button again
  2. Select your new file
  3. The previous file is automatically replaced

The upload date updates to reflect when the replacement was submitted.

After Submitting

Confirmation

After a successful upload, you'll see:

  • Upload Complete label
  • Link to Download your submitted file
  • Upload date and time

What Happens Next

  1. The event organizer collects all submissions after the deadline
  2. Judges review your submission and provide feedback
  3. Commentary and scores (if applicable) are released through CompetitionSuite
  4. You can access feedback through the Commentary section once released

Troubleshooting

I only see the Submissions tab

This is expected for Bronze events. Bronze events don't have lineup, performance music, or critique signup features.

My video file is too large

If your video exceeds 5 GB:

  • Compress the video using video editing software
  • Reduce the resolution (720p is usually sufficient for adjudication)
  • Use a video compression tool or online service

I missed the submission deadline

Contact the event organizer directly. They may be able to accept late submissions through other means, though this is at their discretion.

I uploaded the wrong file

Simply upload the correct file before the deadline. The new upload replaces the previous one.

Best Practices

Video Submissions

  • Lighting: Ensure performers are well-lit and visible
  • Audio: Use an external microphone when possible for better sound quality
  • Framing: Show all performers throughout the performance
  • Stability: Use a tripod or stable surface to avoid shaky footage
  • Length: Follow any duration requirements specified by the organizer

Audio Submissions

  • Format: Use high-quality formats (WAV preferred, MP3 at 320kbps minimum)
  • Levels: Ensure audio levels don't clip or distort
  • Silence: Include a few seconds of silence at the beginning and end

Document Submissions

  • PDF format: Convert documents to PDF for consistent viewing
  • Legibility: Ensure text and music notation are clear and readable
  • File size: Compress large PDFs if needed while maintaining quality
