Creating a Schedule

Once you have set up a Schedule Template and an event, you're ready to create a schedule.

You have two options when setting up a schedule:

  • Create a schedule from the performance list (when you already have the groups entered)
  • Create a skeleton schedule (useful when you have a semi-finals and/or finals)

Create a Schedule from the Performance List

The following assumes you have already added groups to the competition. If you have not added any groups, please add them or skip to the Skeleton Schedule section.

  1. Click the Schedule tab for the competition
  2. Click the template dropdown and select the schedule template you'd like to use.
    If you don't see the template dropdown, please Create a Schedule Template.
  3. Click the Save Schedule button
If you see the same time listed multiple times, that means you don't have an interval time specified for the division. Please visit Manage Divisions to set up an interval time.

You can now customize the schedule using the instructions below.

Create a Skeleton Schedule

A "Skeleton Schedule" is useful when you need to preconfigure a schedule, but you don't know what groups will be filled in.

To create a skeleton schedule:

  1. Click the Schedule tab for the competition
  2. You'll be provided with a "Quick Create" display
  3. Fill in the number of performances for each division
  4. Click the Quick Create button
  5. Select a Schedule Template from the template dropdown.
    If you don't see the template dropdown, please Create a Schedule Template
  6. Click the Save Schedule button

You can now customize the schedule using the instructions below.

Customizing the schedule

CompetitionSuite creates a basic schedule that doesn't include any breaks or awards ceremonies. You are able to customize the schedule by adjusting the performance times of groups and inserting breaks, meals, awards, etc.

To adjust a performance time:

  1. Find the performance you'd like to customize
  2. Click the Update button to the right of the performance
  3. Fill in the new time (it must be after the time listed to prevent conflicts)
  4. Click the Apply Override button to apply (you can cancel the override by keeping the value the same and clicking Apply Override)
  5. Click the Save Schedule button

To add a custom entry:

  1. Find the location you'd like to add a custom entry
  2. Click the Insert Schedule Entry link
  3. If the schedule entry will be a performance, select the division for the entry
  4. If the schedule entry will be a custom entry, provide a name and leave the division dropdown blank
  5. Click the Save Schedule button

To remove an entry (custom or performance):

  1. Find the performance or custom entry you'd like to remove
  2. Click the Remove button to the right of the entry
  3. Click the Save Schedule button

Viewing/Sharing the Schedule

The CompetitionSuite schedule system generates two publicly available schedules:

  • Standard - Includes the group's name, location, class, and performance time
  • Logistical - Includes all of the times and fields from the schedule template

You can view the public schedules and share them by:

  1. Click the Schedule tab for the competition
  2. Click the View Links button
  3. Click the View button next to the schedule you'd like to view

Groups Performing Outside of their Division

There could be a scenario where a group needs to perform at a different time than their division.  You are able to accommodate this in the schedule.

Note: This will NOT change the order in the judge app, so judges need to be aware of the schedule difference.

Make sure the group that needs to be adjusted is at the top of the performance list (if they're performing earlier on the schedule) or end of the performance list (if they're performing later on the schedule).

  1. Find the location that the group will be performing
  2. Click the Insert Schedule Entry link
  3. Change the dropdown to the appropriate division
  4. Find the rest of the groups in that division
  5. Remove the extra entry labeled "No group available" at the end of the division list
