Manage Your Configurations

Edit configuration names, archive configurations you no longer need, or restore previously archived configurations.

Navigate to Configurations

  1. Open your organization
  2. Click Settings in the top navigation
  3. Select Configurations from the left sidebar

View Your Configurations

Configurations are organized by group type. Each panel shows:

  • Panel header - The group type name (e.g., "Winter Guard", "Percussion")
  • Configuration list - All configurations for that group type
  • Add button - Quick access to add another configuration to that group type

Edit a Configuration

Rename a Configuration

  1. Click the configuration name you want to edit
  2. In the modal that opens, update the Name field
  3. Click Save

Note: You cannot change a configuration's group type after creation. If you need to move a configuration to a different group type, create a new configuration under the correct type and archive the old one.

Archive a Configuration

Instead of permanently deleting configurations, you can archive them. Archived configurations are hidden from event setup and division configuration but can be restored at any time.

Step 1: Open the Configuration

Click the configuration name you want to archive.

Step 2: Click Archive

In the modal, click the Archive button (bottom-left corner).

Step 3: Confirm Archive

A confirmation dialog appears:

You're about to archive the configuration [Name]. Archived configurations are hidden from event setup but can be restored later.

Click Yes, archive to confirm, or Cancel to keep the configuration active.

What Happens When You Archive

  • The configuration is hidden from event setup dropdowns
  • The configuration is hidden from division configuration screens
  • Historical data and past events using this configuration are preserved
  • The configuration can be unarchived at any time

Unarchive a Configuration

To restore an archived configuration:

  1. Navigate to the Configurations page
  2. Look for configurations marked as Archived (displayed with an archive indicator)
  3. Click on the archived configuration
  4. Click the Unarchive button
  5. The configuration is immediately restored and available for use

Important Considerations

Archiving vs. Deleting

Action Effect
Archive Hides configuration from dropdowns; can be restored anytime
Delete (legacy) Permanently removes configuration; cannot be undone

Recommendation: Always archive configurations instead of deleting them. This preserves your historical data and allows you to restore configurations if needed.

When to Archive

Archive configurations that:

  • Are no longer used for new events
  • Were created for a specific season that has ended
  • Are duplicates you want to hide but may need later
  • Were created for testing purposes

Archived Configurations and Historical Data

When you archive a configuration:

  • Past events continue to display the configuration name correctly
  • Reports and exports still show the configuration where it was used
  • Only new event setup and division changes are affected

Organizing Your Configurations

Panel Display Order

Group type panels display in the order defined in your group type settings. Within each panel, configurations are listed in the order you specify.

Reordering Configurations

You can change the display order of configurations within each group type:

  1. Hover over the configuration you want to move
  2. Click and hold the drag handle (three horizontal lines) on the left side
  3. Drag the configuration to your preferred position
  4. Release to save the new order

The order you set here affects how configurations appear in:

  • Division setup dropdowns
  • Event setup screens
  • Reports and exports

Tip: Put your most commonly used configurations at the top for easier access during event setup.

Keeping Things Clean

Periodically review your configurations and archive any that are:

  • No longer used at any events
  • Duplicates of other configurations
  • Created for testing purposes

Troubleshooting

"There was an error archiving the configuration!"

This may occur if:

  • There's a temporary system issue
  • The configuration was already archived

Wait a moment and try again. If the problem persists, contact support.

"There was an error unarchiving the configuration!"

This may occur if:

  • There's a temporary system issue
  • The configuration was already active

Wait a moment and try again. If the problem persists, contact support.

Can't find a configuration

  • Check if you're looking at the correct organization
  • The configuration may be under a different group type than expected
  • If recently created, try refreshing the page

Configuration still appears after archival

Refresh your browser. If it still appears, the archival may not have completed successfully. Try archiving it again.
