View Sent Messages

Review messages you've previously sent through Organization Messaging. The Sent Messages view helps you track communications, reference previous content, and verify that important messages were sent.

Accessing Sent Messages

  1. Navigate to your organization
  2. Click Messaging (or Email) in the main navigation
  3. Click the Sent Messages tab

Sent Messages List

The list displays all previously sent messages, showing:

Column Description
Subject The subject line of the message
Date When the message was sent

Messages are listed with most recent at the top. Use the pagination controls at the bottom to browse through older messages.

  2. The message view shows:
  • Subject - The original subject line
  • From - The staff member who sent the message
  • Sent - Full date and time the message was sent
  • To - Summary of the recipient targeting criteria
  • Message content - The full message body with formatting

Viewing Recipients

To see who received a message:

  1. Open a message from the Sent Messages list
  2. Look for the To: line showing the recipient summary
  3. Click View Recipients to see the full recipient list

The recipient modal displays:

  • All recipients who were included in the message
  • Their names and email addresses
  • The targeting criteria used to select them

Viewing Attachments

If a message includes attachments:

  1. Scroll to the Attachments section below the message body
  2. Click any attachment name to download or view it
  3. Attachments open in a new browser tab

You can share direct links to specific sent messages:

  1. Open the message you want to share
  2. Copy the URL from your browser's address bar
  3. Share the URL with colleagues who have organization access

The URL includes parameters like ?tab=history&message=123 that take recipients directly to that message.

Note: Recipients must have organization messaging access to view shared links.

Browser Navigation

The Sent Messages view supports standard browser navigation:

  • Use your browser's Back and Forward buttons to navigate between messages
  • Page numbers are preserved in the URL
  • Bookmarking specific messages works as expected

What's Shown in Sent Messages

Sent Messages displays:

  • Organization emails sent through the Messaging feature
  • The subject line exactly as sent
  • The formatted message content
  • The date, time, and sender information
  • Attachments (if any were included)
  • Recipient targeting summary with ability to view full recipient list

Note: Recipients do not see who sent the message. The "From" field is only visible to your organization staff.

What's NOT Shown

The Sent Messages view does not display:

  • Event-related automatic notifications (schedule changes, score releases, etc.)
  • Individual delivery status per recipient
  • Whether recipients opened the email
  • Read receipts or tracking data

Empty State

If no messages have been sent yet, you'll see:

"You're good! You don't have any messages"

This simply means no messages have been sent from Organization Messaging yet.

Use Cases

Reference Previous Communications

Need to remind groups about something you already announced? View the sent message to:

  • Confirm what was communicated
  • Copy content for a follow-up message
  • Verify dates and details

Verify a Message Was Sent

If someone claims they didn't receive a message:

  1. Check Sent Messages to confirm it was sent
  2. Click View Recipients to verify they were included
  3. Note the date and subject
  4. Ask the recipient to check their spam folder
  5. Verify their email address is correct in their account

Share with Colleagues

Need another staff member to see what was sent?

  1. Open the message
  2. Copy the URL from your browser
  3. Send the link to your colleague

Maintain Consistency

When sending similar messages repeatedly (like event announcements), reference sent messages to maintain consistent formatting and tone.

Tips

Messages cannot be searched or filtered. If you send many messages, consider:

  • Using consistent subject line formats (e.g., "[Event Name] - Topic")
  • Including dates in subject lines for easy scanning
  • Using pagination to browse to the approximate date range

Message Retention

Sent messages are retained indefinitely. You cannot delete messages from the history.
