Configuring Event Details
The Event Details section is where you configure the fundamental settings for your competition, including the event name, location, dates, and scoring configuration.
Accessing Event Details
- Navigate to your Organization > Events > select your Event
- Click Setup in the event navigation
- Event Details is selected by default (or click it in the sidebar)
Basic Settings
Season
Displays the season this event belongs to. The season is set when the event is created and cannot be changed afterward.
Name
The public name of your event. This is displayed:
- On the event list
- In schedules and recaps
- To registered groups
- On any public pages
Location
The venue or location where the event takes place. This is displayed alongside the event name throughout the system.
Event Type
Select the format of your competition:

| Prelims/Finals | Two rounds - preliminary and finals |
| Prelims/Semifinals/Finals | Three rounds of competition |
| Custom | Multiple separately-named competitions |
The event type determines:
- How many competition sessions appear
- Available import options for lineups
- How rounds are handled in scoring
Note: Once performances have been entered or scores recorded, the event type is locked and cannot be changed.
Competition Settings
For each competition (determined by event type), configure:
Date
Set the competition date using the date picker. For multi-day events, each competition can have a different date.
Panel Size
Select the number of judges per caption:

The panel size affects judge assignments and how scores are calculated.
Scoring Configuration
For each group type competing at your event, select the scoring system:
- Find the group type row (e.g., "Marching Band", "Color Guard")
- Click the dropdown
- Select the appropriate scoring configuration
Important: If no scoring configuration is selected, you cannot add groups or create a lineup for that group type.
Circuit Competition ID (Optional)
If your organization participates in circuit scoring, enter the external competition ID here. This enables score synchronization with circuit systems.
Advanced Options
Click the Advanced Options panel header to expand additional settings:
Anonymize Group Names
| Setting | Description |
|---|---|
| Yes | Group names are hidden from judges and replaced with generic identifiers |
| No | Group names are displayed normally |
Use anonymization when you want judges to score without knowing which group is performing. This is common for blind judging scenarios.
Shorthand Name
An internal identifier displayed in the browser title bar. Use this to distinguish between multiple open events.
- Enter a brief name (e.g., "Regionals")
- Enter a dash (-) to hide the event name from the browser title entirely
- This name is never shown to the public
Saving Changes
After making changes:
- Review all settings
- Click Save Event Details
- Wait for the confirmation message
Note: Some settings (event type, dates) affect other areas of the system. Changes may require updates to the lineup or schedule.
What You Cannot Change
The following are set at event creation and cannot be modified:
- Season - The event belongs to its original season
- Event Type - Once scores or performances exist, this is locked
- Competition Names - For standard event types, names are system-defined
Common Scenarios
Changing from Single Day to Prelims/Finals
This is only possible if:
- No groups have been added to the lineup
- No scores have been entered
To change:
- Click the desired event type button
- Configure dates for both competitions
- Save changes
- Set up scoring for both competitions
Selecting a Different Scoring System
- Find the group type row
- Click the dropdown
- Select the new scoring system
- Click Save Event Details
Warning: Changing the scoring system after judges have been assigned may clear those assignments.
