Recap Visibility Settings
The Recap Visibility feature allows you to control whether a performance appears on the official recap and handle situations where a group did not perform. This guide explains how to configure these settings.
Accessing Recap Visibility
- Navigate to the Event Scoring page
- Find the performance you want to configure
- Click the eye icon in the performance card header
- Eye icon (open) = Performance is visible on recap
- Eye-slash icon (crossed out) = Performance is hidden from recap
- The Recap Visibility modal opens
Modal Options
Performed (Yes/No)
This setting indicates whether the group actually performed at the event.

| Yes | Normal scoring - the performance is scored and can appear on recap |
| No | No score available - a warning banner appears and the group receives no score |
Reason (When "No" is Selected)
If a group did not perform, you must select a reason:

| Weather | Performance cancelled due to weather conditions |
| No Show | Group did not arrive or failed to take the floor |
| Disqualified | Group was disqualified from the competition |
| Other | Any other reason (enter custom text) |
When selecting Other, a text field appears where you can enter a custom reason (e.g., "Equipment failure", "Medical emergency").
Visible on Recap (Yes/No)
This setting controls whether the performance appears on the public recap, regardless of whether they performed.

Common Scenarios
Group Performed But Should Be Hidden
Use this when a group performed but you don't want their score on the public recap (e.g., exhibition performance):
- Set Performed to Yes
- Set Visible on Recap to No
Result: The group still receives their score (when released), but they don't appear on the public recap.
Group Did Not Perform
Use this when a group was unable to perform:
- Set Performed to No
- Select the appropriate Reason
- Set Visible on Recap to Yes or No based on your preference
Result: No score is calculated. If visible, the recap shows "Did Not Perform" with the reason.
Group Disqualified After Performing
Use this when a group performed but was later disqualified:
- Set Performed to No
- Select Disqualified as the reason
- Set Visible on Recap based on your preference
Result: Their original scores are ignored and they appear as disqualified.
Visual Indicators on the Scoring Page
After saving recap visibility settings, the performance card updates to show the current status:
Performance Marked as Not Performed
A red warning banner appears:
No Score Available - This performance has been marked as no score available. The recap will not have this group's score and they will not be able to access their score.
Performance Hidden from Recap
A yellow warning banner appears:
Performance Hidden - This group and score will not be displayed on the recap, however the group will still receive their score, when released.
Icon Changes
The eye icon in the performance header reflects the current visibility:
- Open eye = Visible on recap
- Crossed-out eye = Hidden from recap or marked as not performed
Saving Changes
- Configure the desired settings
- Click Save to apply the changes
- The modal closes and the performance card updates
Click Close to exit without saving.
Group Score Access
The recap visibility settings affect what groups see when viewing their scores:

Key point: Setting "Visible on Recap" to No does NOT prevent the group from seeing their own scoreāit only affects the public recap. The "Performed" setting determines whether the group has access to their score.
Best Practices
Before the Event
- Review registered groups and identify any that are exhibition-only
- Plan how to handle potential no-shows or weather delays
During the Event
- Update recap visibility immediately when a group doesn't perform
- Document the reason while details are fresh
- Communicate with affected groups about their status
Before Releasing Scores
- Review all performances marked as not performed or hidden
- Verify reasons are accurate and appropriate for public display
- Confirm all disqualifications with event officials
Troubleshooting
Cannot find the eye icon
The eye icon appears in the performance card header, to the left of the lock icon. If you don't see it, ensure you have the necessary permissions to modify recap settings.
Changes not saving
Ensure you click Save before closing the modal. The Close button discards changes.
Group still appearing on recap after hiding
Recap visibility changes take effect immediately but may require regenerating the recap document if it was previously generated.
