Assigning Judges
The Judges section is where you assign judges to each caption in your scoring system. Proper judge assignments ensure scores are attributed correctly and judges receive their assignments on their tablets.
Accessing Judge Assignments
- Navigate to your Organization > Events > select your Event
- Click Setup in the event navigation
- Click Judges under the competition name in the sidebar
Prerequisites
Before assigning judges:
- Scoring must be configured - Set in Event Details
- Divisions must be selected - In the Lineup section
- Judges must exist - Created in Organization People Management
If prerequisites aren't met, you'll see a message directing you to the appropriate section.
Head Judge
Setting the Head Judge
- Find the Head Judge section at the top
- Enter the head judge's name in the text field
- Click Save Administration
The head judge name:
- Appears on recaps and official documents
- Is typically a text entry (doesn't need to match a system user)
- Is optional but recommended
Judge Assignments
Understanding the Display
Judge assignments are organized by scoring system:
- Each scoring system has its own panel
- Within each panel, captions are listed
- Each caption shows available judge slots
Caption Information
Each row shows:
- Caption name - The scoring area (e.g., "Visual", "Music", "General Effect")
- Judge number - For split panels (Caption 1, Caption 2)
- Notes - Any special instructions for that caption (italic text)
Making Assignments
- Find the caption you want to assign
- Click the judge selector dropdown
- Search or scroll to find the judge
- Select the judge name
The assignment saves when you click Save Judges or move to another caption.
Judge Information Shown
When selecting a judge:
- Name - Full name displayed
- Email - Shown below for identification
Unassigning a Judge
- Click on the assigned judge selector
- Clear the selection or select a different judge
- Save changes
Multiple Scoring Systems
If your event uses different scoring systems for different group types:
- Each scoring system appears as a separate panel
- Judges must be assigned for each system
- The same judge can be assigned across systems
Panel Sizes
Based on your event's panel configuration:

Saving Assignments
Save Button States

When to Save
Click Save Judges when:
- You've made new assignments
- You've changed existing assignments
- Before leaving the page
Tip: Save frequently to avoid losing work.
Judge Availability
Who Appears in the List
The judge selector shows:
- All users with judge role in your organization
- Active judges only
- Sorted alphabetically by name
If a Judge Is Missing
If you don't see a judge in the list:
- Go to Organization > Settings > People
- Find or add the person
- Ensure they have the "Judge" role
- Return to event judge assignments
Common Scenarios
Assigning One Judge to Multiple Captions
A single judge can be assigned to multiple captions:
- Assign the judge to the first caption
- The same judge remains available for other captions
- Assign as needed
This is common for smaller events or specific scoring configurations.
Last-Minute Judge Change
- Find the caption with the original judge
- Select a new judge from the dropdown
- Save changes
- The new judge receives the assignment on their tablet
Training Judges
Training judges are handled the same way:
- Find the training caption
- Assign the training judge
- Training captions don't affect official scores
After Assigning Judges
Once assignments are complete:
- Verify all captions have judges
- Go to Judge Totes to print materials
- Ensure judges have access to their tablets
- Judges will see their assignments when they log in
Troubleshooting
"Scoring hasn't been selected"
- Go to Event Details
- Select a scoring configuration for each group type
- Save changes
- Return to Judges
"Divisions haven't been selected"
- Go to Lineup
- Click Select Divisions
- Choose your divisions
- Return to Judges
Judge Not Receiving Assignments
If a judge doesn't see their assignments:
- Verify the assignment was saved
- Check the judge is logged into the correct account
- Confirm they're using the Judge App
- Have them refresh or restart the app
